For home child care agencies
Every home visited, every provider current
An agency has one office and many homes. KeepCount tracks the agency’s own obligations for each: the quarterly unannounced visits, the provider’s policies and screening, and the records the agency itself must keep.
What an agency gets
- Home visits
- The initial inspection before a home is used and the unannounced visit in every calendar quarter (s. 26), with the checklist uploaded. A quarter that passes without a visit shows as overdue for that home.
- Provider policies
- The agency policy set the Home Child Care Licensing Manual expects, signed by every provider on their phone, with quizzes. A changed policy asks everyone again.
- Screening per home
- The provider and the other adults ordinarily resident or regularly in the home, each with the vulnerable sector check, declaration, first aid and health assessment dates and reminders (ss. 57, 60, 62).
- Serious occurrences
- Providers report an incident from their phone; the agency sees it, files the report and records the posting.
- Readiness and the binder
- The agency’s requirement list with a status per line, and the binder with the visit record, screening and sign-offs for every home.
Priced by the number of providers
Agencies pay one price for the whole agency, from $199 a month for up to 10 active providers. The band follows the number of providers KeepCount is tracking for you and moves on its own as providers join or leave. The room tablet is for centres; agencies do not pay for it.
Providers use it on their phones
A provider signs in, reads and confirms the policies, takes the quizzes, sees their own screening dates and can report an incident. Nothing else. The agency decides whether training is locked until the policies are done.
